Who is responsible

Website

This website does not use advertising cookies or third-party tracking. Our hosting provider processes standard server logs, including IP address and browser information, to deliver and secure the site.

If you send us a message through the contact form, we store your name, email address, company and message in order to reply.

Application process

If you apply for a role, we store the details you submit: name, contact details, location and time zone, availability, your answers about relocation, and any project links you provide.

The application interview is conducted by an AI interviewer and is carried out by voice in English. Your speech is transcribed in real time by our processor, OpenAI, in order to conduct the conversation and produce a written transcript. We do not store an audio recording of the interview. The transcript is stored and used to assess your application.

An automated assessment produces a structured evaluation of the interview, including scores per assessment dimension and supporting quotes. This assessment is a recommendation only. Every hiring decision is taken by a person, who reviews the transcript and the assessment before deciding.

Legal basis and consent

We process application data on the basis of your consent and in order to take steps at your request prior to entering into a contract. You give consent explicitly before the interview begins, and you can withdraw it at any time by contacting us. Withdrawal does not affect processing that already took place.

Recipients

We use OpenAI to conduct and transcribe the interview and to generate the assessment, Supabase for database hosting, and Vercel for website hosting. These providers act as processors on our behalf. Data may be processed outside the United Arab Emirates, including in the United States and the European Union.

Retention

We keep application data, transcripts and assessments for 12 months from the date of your application, then delete them. If you join us, your data moves into your employment record instead. Contact form messages are deleted after 24 months.

Your rights

You can ask us for a copy of the data we hold about you, ask us to correct it, ask us to delete it, or object to the processing. Write to hello@maxentis.org and we will respond.
